Questions to Ask When Choosing the Perfect Wedding Vendors

It can be overwhelming to begin searching for the perfect vendor among the sea of options. Here are a few question to ask each vendor to get to know their style and test your compatibility!

Venue

  1. What is included in the rental fee (tables, chairs, linens, etc.)?
  2. Are there any restrictions (noise ordinance, end time, décor limits)?
  3. Is there a backup plan for bad weather (for outdoor venues)?
  4. Do you have a list of preferred or exclusive vendors?
  5. Do you require wedding/liability insurance?
  6. Will our wedding be the only one on the day/weekend at this venue?

Caterer

  1. Do you offer menu tastings, and is there a fee?
  2. Can you accommodate dietary restrictions and custom menu requests?
  3. How is pricing structured—per person, buffet, plated, stations?
  4. What staff is included (servers, bartenders, chef)?
  5. Do you handle rentals like china, glassware, and utensils?

Photographer

  1. Can we see a full gallery from a recent wedding?
  2. What is your editing style?
  3. Do you have experience shooting at our venue?
  4. What’s your approach—candid, posed, editorial?
  5. How many hours of coverage are included in your packages?
  6. What is the turnaround time for edited photos?
  7. Can we add a second shooter?

Videographer

  1. What is your filming and editing style?
  2. How do you capture audio during the ceremony and speeches?
  3. How many people will be on your team the day of?
  4. What’s included in the final product (highlight reel, full ceremony, speeches)?
  5. Can we request specific songs or moments to be included?

DJ

  1. How do you build your playlists—can we give input or a “do not play” list?
  2. How do you handle song requests from guests?
  3. What sound and lighting equipment do you provide?
  4. Do you act as the emcee throughout the event or do you have a team member that will work our event?
  5. Do you have backup equipment and a plan in case of emergencies?

Band

  1. What genres or styles do you specialize in?
  2. Can you learn specific songs for our ceremony or first dance?
  3. How many musicians are typically in your performance group?
  4. Do you provide all sound equipment and take care of setup?
  5. How many breaks do you take, and what’s played during breaks?

Wedding Planner/Coordinator

  1. How many weddings do you take on at once or in a weekend?
  2. Will you be there on the wedding day, or someone else from your team?
  3. How do you manage vendor communication and logistics?

Bakery

  1. Do you offer tastings, and how many flavors can we try?
  2. Can you accommodate dietary needs (gluten-free, vegan, etc.)?
  3. What’s your design process—can you replicate inspiration photos?
  4. How is pricing determined (per slice, design complexity)?
  5. Do you deliver and set up the cake on-site?

Florist

  1. Can you work within our budget and still achieve our vision?
  2. What flowers are in season during our wedding month?
  3. Do you handle delivery, setup, and breakdown?
  4. Can you show us photos of past weddings you’ve done?
  5. How do you handle substitutions if certain flowers aren’t available?

General Logistical Questions

After you find your dream vendor in each category, make sure you ask logistical questions like:

  1. Do you require breaks day-of?
  2. What type of meal do you require?
  3. What is your refund/cancellation policy?
  4. how much do you require as a deposit?
  5. What’s your payment schedule?
